Creating and Managing Feedback Template

Learn how to create, edit, and manage feedback templated in worx. This section is designed for HR and admins to define templates that will be used for feedback requests across the organization.

πŸ“Build the Foundation of Great Feedback

Feedback templates are the building blocks of meaningful conversations in worx. They define the questions, scales, and formats that guide feedback exchanges across your organization.

Whether you're creating a simple review or a comprehensive assessment, this guide will help you design templates that capture the insights your organization needs to grow.


✨ Creating a New Feedback Template

Steps to create a new template:

  1. Go to on the left side bar to Administration β†’ Configuration (put icon).

  2. Click the green button "Create Feedback Template".

  3. Enter the name of the template in your preferred language. Optionally, add names in other languages.

  4. Then click on "Create Template". The new template will appear in the list with all existing templates.

Adding Components/Questions:

  1. Click "Manage Components" under the Actions column for your template. (add icon)

  2. Then click the green button "Add Component".

  3. Choose the type of component/question:

Single Choice

  1. Type your question under "Question".

  2. Click the light green "Add Option" button to add each response option.

  3. Repeat to add more options.

  4. Randomize options: Shuffles the order of the options for each responder.

  5. Click darker green "Add Component" to create the next question.

Multiple Choice

  • Same as Single Choice, but also set the minimum and maximum number of selections allowed.

Rating Scale

  1. Type the question.

  2. Choose the rating count (number of steps on the scale, e.g., 1-5).

  3. Click scale icon SVG to select different shapes for the scale.

  4. Click scale icon color to choose the color.

Grid/Open Text

  • Grid: Define rows and columns; options can also be randomized.

  • Open Text: Responders type their answers freely - no predefined options.

Managing Components:

  • Edit: Pen icon (add icon)

  • Delete: Red trash icon (add icon)

  • Duplicate: Duplicate icon (add icon)

  • Move up/down: Arrow icons (add icon)

Template Actions (top of page):

  • Archive: Orange button (add icon)

  • Preview: Green button with eye icon (add icon)

  • Publish: Green button with tick (add icon)

  • Save as draft: Automatically saved; click Back to exit without publishing (add icon)

πŸ’‘Tip: Always preview your template before publishing to ensure all questions and options appear correctly.


πŸ”„ Managing Existing Templates

Keep your templates up to date.

Templates can be published, edited, or archived depending on your needs. Manage them carefully to ensure your feedback processes stay consistent and reliable.

βš™οΈ Steps to Manage Templates

  • Publish: Click the tick icon under Actions to make a draft template available for use.

  • Edit Template: Click the pen icon to modify the template (available only in Draft mode).

  • Manage Components: Click the box + line icon to view or adjust template components.

  • Archive or Delete: Click the three dots under Actions for more options.

  • Check Status: Review whether the template is Draft, Published, or Archived.

πŸ‘₯ Assigning Templates

  1. Click Manage Template Assignments (πŸ‘€ person icon).

  2. Select individuals or organizational units to assign the template to (e.g., add "Sales" to allow everybody in the sales deparment to use this template).

  3. Assigned users can then request or give feedback using that specific template.

πŸ” Access Rules

  1. Click Manage Access Rules (πŸ”’ lock icon).

  2. Define who can request feedback from whom.

  3. Rules are based on the feedback receiver role and feedback provider role (e.g., employee β†’ manager, peer β†’ peer).

✏️ Editing Templates:

You can only edit templates that are in "Draft" status. Once a template is published, you must first move it back to draft mode before making any changes.

  1. Click the three dots (β‹―) next to the template.

  2. Select Revert to Draft (πŸ”„ curved arrow icon) to move a published template back to draft status.

⚠️ Note:

  • While in draft, the template cannot be used for feedback requests.

  • Editing or archiving a live template may affect ongoing feedback processes. Always check the template status before making changes.
