Create and Manage 360° Feedback Templates

Learn how to create, edit, and manage feedback templates in Develop worx. This section is designed for HR and admins to define templates that will be used for 360° feedback processes across the organization.

✨ Creating a New Feedback Template

1) Create a new template

  1. Go to on the left side bar to Administration, then click on Templates and content.

  2. If there are multiple tabs, click the tab 360° Feedback.

  3. Click the green button + Create Feedback Template.

  4. Enter the Template name in your preferred language. Optionally, add names in other languages.

  5. Then click on Create Template. You will be instantly directed to the Template builder where you can edit the template:

  6. If you click Back on the top left, you get redirected to the template overview:

2) Edit template in the template builder

  1. To enter the template builder, click the icon ⧉ (Manage Components) visible in the Actions column.

  2. Before editing the template, you have to choose or create a rating scale.

    • Already existing rating scales appear when clicking the field Choose a rating scale.

    • New rating scales can be added by clicking Manage rating scales on the top right. → For more info, see chapter 🔢 Manage rating scales

  3. Click the green button Add Component.

  4. Choose the type of component (see box below for more information):

    • Text block without question

    • Competency question

    • Open question

  5. If you have defined a component, you can carry out the following actions visible on the right side:

    • Edit the component: ✏️

    • Delete the component: 🗑️

    • Duplicate the component:

    • Move the component up/down to define the order: ↑↓

  6. If you have edited your template, you can preview it by clicking 👁️ (Preview template) on the top right corner.

  7. Click Back on the top left to get back to the template overview.

  8. From there, you need to define the feedback provider groups and timeline

    • → See chapter Manage Groups and Timeline

⚠️ Note - Different Languages:

  • You have to edit the components in every language you would like to use for the template.

  • For this, choose the respective language on the top in the template bulider and edit the components in the respective language accordingly:

  • If you have only set up one language (e.g., English), this language appears as a fallback language for all feedback providers although they chose a different default language for themselves (e.g., German).

  • → This method prevents them from seeing an emply template.

Definition of the different components:

Text block without question

The text block without questions allows you to provide the focus person and feedback providers with information (e.g., intro, specific directions for each section, outro)

You can decide whether you want to show the text block in the self-perception and/or to the feedback providers.

→ This way, you can address the focus person and feedback providers differently.

Competency question

Competency questions are related to the competency framework and the respective indicators.

→ Requires an existing competency framework incl. indicators.

Competency questions can be marked as Required meaning that they need to be answered to submit the questionnaire at the end.

→ In this case, we suggest to use an X option to allow feedback providers to not rate a specific statement (e.g., if they can't say anything about this statement).

Open question

Open questions can be defined to allow feedback providers to not only rate, but provide feedback with their own words.

Open questions can be marked as Required meaning that they need to be answered to submit the questionnaire at the end.

3) Manage Groups and Timeline

Click the three dots on the right for defining the groups and timeline of the respective template.

3a) Groups:

tbd

3b) Timeline:

tbd

4) Publish Template

When your template is ready to use, you need to publish it by clicking ✅ (Publish) on the right side in the overview:

You can also do that in the template builder on the top right corner:

🔢 Managing Rating Scales

  1. Select a Rating scale name for each available language.

  2. Define the levels of the rating scale (number, wording and colors) for each available language.

    • Edit the level number by clickinig Remove level or Add level, respectively.

    • Click Add X option if you want to provide the feedback providers the option to not rate.

    • Name the levels by clicking the fields.

    • Choose the colors by clicking the fields → you can also "copy" a color from another website by clicking the ⌖ icon.

  3. Click Save & use or Save scale

🔄 Managing Existing Templates

  • If a template is already in use, you can't move it back to draft mode and therefore can't make changes anymore.
